Short answer: A public-sector auditorium renovation should cover the brief, a measured site survey, acoustics, the sound system, seating, stage and lighting, fire safety and access, HVAC noise, a clear BOQ, a realistic schedule, testing and handover. Using one checklist keeps the committee, consultant and contractor aligned from start to finish.

Renovating an auditorium in a government department, university or public body involves many people and many trades. Missing one item early can cause delays and extra cost later. Use this checklist to plan your project and to brief consultants and bidders.

Our team has worked in acoustics since 2021, with 50 projects for 49 organisations across Pakistan, from government departments and universities to broadcasters. See our turnkey auditorium renovation service.

1. Brief and stakeholders

  • Who uses the hall: convocations, seminars, cultural events, conferences, recordings?
  • How many seats are needed now and in future?
  • Who approves the design and budget?
  • Who will operate and maintain the hall after handover?
  • What are the key dates the hall must be ready for?

2. Site survey and existing condition

  • Measured drawings of the hall, stage and control room
  • Noise levels and reverberation time measured on site (ISO 3382)
  • Condition of existing seats, carpets, ceiling and wall finishes
  • Condition of the existing sound system, cabling and power
  • Structural limits for rigging, truss and heavy finishes

A paid site survey by our acoustics team gives the committee facts, not guesses.

3. Acoustics

  • Target reverberation time for the hall’s main use
  • Speech clarity target (STI to IEC 60268-16)
  • Wall, ceiling and rear-wall treatment plan
  • Sound insulation from corridors, roads and plant rooms
  • Fire performance of all acoustic materials

4. Sound system

  • Loudspeaker coverage plan for every seat, including balconies
  • Microphones: lectern, wireless, conference, choir or stage
  • Mixer, processing and simple presets for staff
  • Recording or streaming outputs if needed
  • Hearing assist for people with hearing loss

See our auditorium sound system service.

5. Seating

  • Seating layout with aisles, row spacing and sightlines
  • Chair type: fixed, folding or VIP
  • Fabric, foam and frame specifications
  • Samples approved before bulk supply

See our auditorium chairs page.

6. Stage, podium and lighting

  • Stage size, height and access
  • Podium or rostrum with microphone and crest
  • Stage lighting, truss and safe rigging points
  • Lighting suitable for filming if events are recorded

See our pages on stage lighting and truss and podiums and rostrums.

7. Safety and access

  • Fire exits, signage and emergency lighting kept clear
  • Fire-rated materials and cable routes
  • Access for people with disabilities
  • Safe working at height during installation

8. HVAC and electrical noise

  • AC units and ducts selected and placed for low noise
  • Generator and plant room noise controlled
  • Clean, separate power for the sound system
  • Backup power for essential systems

9. Procurement and BOQ

  • Performance-based specification with test standards
  • BOQ that matches the drawings line by line
  • Brand-neutral wording with measurable “or equivalent” criteria
  • Compliance with PPRA or provincial procurement rules

Our tender specifications page has sample clauses.

10. Schedule

  • Work planned around exams, sessions or official events
  • Long lead items (seats, special panels, equipment) ordered early
  • Security passes and working hours agreed

11. Testing and handover

  • Reverberation time and STI measured after completion
  • Sound system tuned and tested at full use
  • Operator training for in-house staff
  • As-built drawings, manuals and warranties handed over

12. After handover

  • Annual maintenance contract (AMC) with response times
  • Spare parts and consumables plan
  • A named contact for support

Common mistakes in auditorium renovations

  • Choosing finishes before acoustics. Beautiful marble and glass can ruin speech clarity.
  • Ordering seats too late. Seats often have long lead times and can delay the opening.
  • Separate contractors with no coordinator. The sound contractor, seating supplier and interior contractor each assume someone else is handling the gaps.
  • No acceptance tests. Without measured targets, there is no fair way to reject poor work.
  • Ignoring the operators. Staff who were not trained will avoid using features they do not understand.
  • Forgetting maintenance. A hall used every week needs regular servicing of its sound and lighting systems.

Why one integrator helps

When acoustics, sound, seating, stage and lighting come from separate contractors, the gaps between them become your problem. A single integrator plans the hall as one system and takes responsibility for the result. Our client list shows the organisations we have worked with.

Frequently asked questions

What should come first in an auditorium renovation?

A clear brief and a measured site survey. They show what the hall needs and what can be reused, before any design or purchase decisions are made.

How long does an auditorium renovation take?

It depends on the scope, lead times for seats and equipment, and access hours. A survey and BOQ allow a realistic schedule planned around exams, sessions or events.

Can we renovate in phases?

Yes. Many institutions phase work across budgets or holidays, for example acoustics and sound first, then seating. A phased plan should still be designed as one system.

Do you work on government auditoriums outside Lahore?

Yes. Sound Krafted works with institutions in Islamabad, Rawalpindi, Karachi and across Pakistan.
